Refund Policy
Applicability
This refund policy applies to Global Round events of the Copernicus Olympiad. Preliminary Round fees are non-refundable in all cases.
1. Non-Refundable Processing Fee
A non-refundable processing fee of $200 USD per person applies to all Global Round registrations. This covers administrative and pre-booked costs (hotels, transport, entry tickets).
2. Refund Request Procedure
To request a refund, complete the official Refund Form, email it to support@copernicusolympiad.us, and attach a scanned copy of the passport to verify visa status. Incomplete requests will not be considered.
3. Refund Timeline
Refund payouts are processed only (a) up to 2 weeks before the Global Round begins, or (b) starting from the 3rd week after the Global Round concludes. No refunds are paid during the 2 weeks before, during, or 2 weeks after the event. Refund requests must be submitted within 6 months of the event ending.
4. Visa Granted but No Participation
If you obtain a US visa but choose not to attend, no refund will be provided. The US Embassy in your country will be notified that the Copernicus Olympiad invitation was used to secure a visa but not for travel.
5. Visa Application Rejected
If your US visa is denied, notify us immediately. After deducting the $200 processing fee, refunds are: full refund if requested 3+ weeks before the event; 50% refund if requested 1–3 weeks before; no refund within 1 week of the event.
6. Processing Time
Once a refund is approved and the payout window is open, refunds are initiated within 5 working days to the original payment method.
